Workflow Automation

Workflow Automation That Quietly Removes the Work You Keep Doing Twice

AuthorsAxis maps your repetitive processes and builds automation around them — lead capture, CRM updates, invoice triggers, content publishing, order syncs, notifications, and the everyday admin that quietly eats hours every week. We build with Zapier, Make, n8n, or custom APIs depending on what actually fits. Every automation ships with error handling, logging, and alerting — because silent failures are worse than no automation at all.

Process mapping first Every automation starts with how you actually work today
Error handling built in Logging, retries, and alerts so nothing fails silently

The Full Journey

From First Process Walk-Through to Automations That Run Themselves

A good automation is not just a Zap that fires. It is a mapped process, a designed data flow, error handling for when things break, alerting so you know when they do, documentation so your team understands what runs, and a rhythm for improving it over time. Skipping any of those steps is how automations quietly fail and nobody notices for weeks.

Some clients arrive with a clear list of processes they want automated. Some arrive with a vague sense that they are doing too much by hand, and we help them find the specific tasks worth fixing first. Some arrive with automations that have stopped working and nobody knows why. Wherever you are, we map the path forward and are clear about what each phase involves before any work begins.

01 Process audit
02 Flow mapping
03 Build & test
04 Go live & monitor
05 Refine & extend
06 Support & reporting

You can join the process at any stage. The roadmap, the deliverables, and the monitoring setup are always agreed with you in writing before work begins.

What Our Automation Services Include

Process Mapping, Platform Builds, Integrations & Monitoring

Every engagement is scoped individually. Most automation projects combine several of the eight services below — from the initial process audit through to ongoing monitoring and refinement.

01

Process Audit & Automation Strategy

We start by walking through the processes you actually run today — which ones cost the most time, which break the most often, and which are genuinely worth automating first. The output is a prioritised roadmap, not a list of every possible Zap.

02

Zapier, Make & n8n Builds

Hands-on builds in the platform that actually fits — Zapier for fast, simple flows, Make for complex multi-step ones, and n8n for self-hosted or developer-friendly requirements. We do not force a platform; we pick the right one.

03

Custom API Integrations

When no native connector exists, we build the integration ourselves — REST or GraphQL, webhooks, OAuth flows, and rate-limit handling. This is often where the difference between a half-working automation and one that runs for years actually happens.

04

CRM & Sales Pipeline Automation

Lead capture, assignment, follow-up, task creation, and stage-change triggers — wired properly into your CRM. We also fix the tracking that is usually the reason a CRM feels messy: duplicate records, missing fields, and stale pipelines.

05

E-commerce & Order Operations

Order-to-inventory, order-to-invoice, order-to-shipping — automated flows that keep stock accurate, customers informed, and finance reconciled. Includes handling for refunds, cancellations, and edge cases that break naive automations.

Discuss this service →
06

Content & Publishing Workflows

Draft-to-review-to-publish pipelines with approval steps, scheduled distribution across channels, and performance reporting. Particularly useful for teams publishing regularly who are tired of doing the same five steps for every piece.

Discuss this service →
07

Reporting & Data Syncs

Scheduled pulls from multiple systems into a single clean dataset or dashboard — refreshed automatically, deduplicated, and formatted for the person who actually reads it. Replaces the Monday morning spreadsheet rebuild.

08

Monitoring, Alerts & Support

Every automation we build ships with logging, failure alerts, and a documented manual fallback. Optional support plans keep your flows healthy as APIs change, credentials rotate, and the tools you use release new versions.

Each service can be engaged on its own or as part of a broader automation programme. Scope, deliverables, and monitoring arrangements are always confirmed in writing before work begins.

What We Automate

The Kinds of Workflows We Take Off Your Plate

We work across a wide range of processes, but every project is assessed individually. Not every task is worth automating — sometimes the manual version is genuinely faster. We will tell you honestly which case you are in.

01

Lead Capture & Routing

Form-to-CRM pipelines with qualification, auto-assignment, and follow-up — so no lead goes cold because someone was busy.

02

CRM & Sales Pipelines

Stage-change triggers, task creation, and reminder flows that keep deals moving without anyone opening the CRM to remember what to do next.

03

E-commerce & Order Operations

Order-to-inventory-to-invoice flows with stock syncs, shipping notifications, and refund handling built in.

04

Content Publishing Pipelines

Draft-to-publish pipelines with review steps, scheduled distribution, and cross-channel posting — no more copy-pasting between platforms.

05

Finance & Invoicing

Milestone-triggered invoicing, payment reminders, accounting syncs, and month-end reconciliation reports that write themselves.

06

Client Onboarding

Contract-signed to kickoff-booked flows that create folders, send welcome emails, and hand the client to the right person — automatically.

07

Internal Operations

Approvals, task routing, status updates, and notification flows that replace the email chains and shared docs nobody wants to check.

08

Data Syncs & Reporting

Scheduled syncs between tools that do not naturally talk — deduplicated, formatted, and dropped wherever your team actually looks.

Our Automation Process

How We Map, Build, Test, Launch & Monitor Automations

Six clear stages. Each stage has an agreed deliverable, and each one begins only after the previous stage has been reviewed and approved by you.

01

Process Audit & Discovery

We walk through how your processes actually work today — which tools are involved, where things slow down, what gets done twice, and what fails quietly. Time cost and error frequency are estimated for each candidate process. Nothing is quoted until this stage is done.

You receive: an audit summary and a prioritised automation roadmap
02

Flow Mapping

Each chosen process is mapped as a trigger → condition → action flow, with edge cases called out explicitly. What happens when a field is empty? What happens when the CRM is down? What happens when a record already exists? Edge cases are where most automations fail.

You receive: approved flow diagrams for every automation in scope
03

Build & Test

We build in the platform that fits — Zapier, Make, n8n, or custom code — and test with realistic data before anything touches production. Error handling, retries, and alerting are wired in from the start, not bolted on after the first failure.

You receive: built and tested automations in a staging environment
04

Go Live & Monitor

Automations go live one at a time, with a monitoring dashboard and failure alerts in place. For the first week we watch closely — most issues surface early, and we would rather fix them quietly than have you find them three weeks later.

You receive: live automations with monitoring, alerts, and documentation
05

Refine & Extend

Once the first set of automations is running smoothly, we look at what else is worth automating. Second-wave automations are usually easier to build because the integrations and data flows are already in place. We also refine what exists if real usage reveals gaps.

You receive: an updated roadmap and refinement notes
06

Support & Reporting

Optional support plans cover credential rotations, API changes, new field mappings, and small adjustments. We also provide a monthly summary of what ran, what failed, and what it saved — so the value stays visible rather than being taken for granted.

You receive: documentation, monitoring access, and optional ongoing support

We do not promise specific hours saved or specific error reductions before we have seen your actual processes. Any agency that quotes "10 hours saved per week" as a fixed number before the audit is guessing — and probably wrong.

Why Authors Choose AuthorsAxis

Why Clients Trust Us With Their Automation Builds

These are the working principles we hold ourselves to on every workflow automation engagement.

01

Honest scoping — sometimes the answer is "do not automate this"

Not every process is worth automating. If the task happens twice a month, takes ten minutes, and the automation would take a week to build, we will tell you. We would rather lose the sale than build something with a two-year payback period.

02

Error handling and monitoring from day one

Any automation that runs without supervision needs to know what to do when it fails. Logging, retries, alerts, and a documented manual fallback are included in every build — because a silent failure is worse than no automation at all.

03

You own every account and integration

Zapier, Make, n8n, CRM, email, and every other tool subscription is registered in your name. We build in your account, with your credentials, and hand over full access. There is no agency-owned middle layer, and no lock-in when we part ways.

04

Documented, not black-boxed

Every automation we build ships with written documentation — what triggers it, what it does, who gets notified, and what to do when it fails. If someone on your team needs to understand or edit it later, they can. Nothing is a mystery.

05

Platform-agnostic — we use what fits

We are not a Zapier partner, a Make reseller, or an n8n evangelist. We choose the platform that fits the process, your budget, your team's comfort level, and your long-term maintenance plans. If you already use one, we will work within it.

06

Support after launch, not just a handover

Credentials expire, APIs change, and tools release new versions. Optional support plans cover ongoing monitoring, fixes, and small adjustments — or we hand everything over fully documented with no ongoing commitment. Your call.

We do not claim award counts, certifications, or client numbers on this page. Those belong in a conversation, not a headline — and you are welcome to ask about them directly.

Project Pricing

How Automation Engagements Are Priced

Two automation projects are almost never the same, and we do not pretend otherwise. What a project costs depends on the number of automations, the complexity of the flows, the tools they connect, whether any custom integrations are required, and how much ongoing support you want. A single well-built automation might be a few hours of work; a full operations programme is a larger engagement.

Rather than publishing a starting price that means nothing in practice, we quote every engagement individually after the audit. You will always know what automations are included, what integrations are in scope, and what the next phase will cost before you commit to it. If you are comparing quotes from other agencies, we are happy to help you compare like-for-like scopes.

Number & complexity of flows A two-step form-to-CRM automation and a multi-branch onboarding flow with conditions and error handling are very different builds. Pricing reflects the actual number of flows and their logic.
Integrations & custom code Connecting tools that have native connectors is faster than building custom API integrations. If any of your systems do not play well together out of the box, that work is scoped transparently.
Volume & platform tier High-volume automations may need a different platform or a higher subscription tier than a small team would. We will recommend the right setup and tell you what the tool subscriptions will cost — paid by you directly.
Support & monitoring Post-launch monitoring, credential management, and adjustments are available as rolling plans or fixed-scope work. No mandatory retainer, no lock-in.

Frequently Asked Questions

Workflow Automation — Common Questions

What is workflow automation, exactly?

Workflow automation means connecting the tools you already use so that routine tasks happen without manual intervention. For example: a new form submission creates a CRM contact, assigns it to a sales rep, sends a welcome email, and posts a notification in Slack — all automatically. The result is that your team spends time on judgement calls, not on copy-pasting between systems.

How do I know if my process is worth automating?

Roughly: if it happens more than a few times a week, takes more than a few minutes, follows predictable steps, and involves tools that have APIs, it is usually worth automating. If it happens once a month, requires judgement, or involves systems that do not expose any kind of interface, it probably is not. We will tell you honestly during the audit which category your processes fall into.

Which automation platform should I use?

It depends on the process. Zapier is the fastest to deploy and easiest for non-technical teams to maintain. Make handles more complex multi-step flows with better visual logic. n8n is best for self-hosted, developer-friendly, or custom-code requirements. For processes that no platform can handle natively, we build custom API integrations. We are not tied to any single platform — we recommend based on what actually fits.

How much does workflow automation cost?

Cost depends on the number of workflows, their complexity, the number of tools they connect, and whether any custom coding is required. A simple two-step automation might be a few hours of work; a multi-branch CRM pipeline with error handling and reporting is a larger engagement. We quote each automation individually after mapping it. Ongoing tool subscription costs (Zapier, Make, CRM, etc.) are separate and paid by you directly.

What happens if an automation breaks?

Automations break — third-party APIs change, credentials expire, or data formats shift. We build error handling, logging, and alert notifications into every automation so you know when something fails, not days later. Support plans cover fixing broken flows; if you are not on a plan, you can reach out and we will quote a fix. This is exactly why we do not build silent, un-monitored automations.

Will I be able to edit the automations myself?

Yes. Every automation we build is documented in plain language, and if you are on a platform like Zapier or Make, you can log in and edit it yourself. We include a walkthrough during handover so someone on your team understands the basics. If you would rather not touch it, that is what support plans are for — but you are never locked out.

Can you automate processes across tools that do not naturally connect?

Yes — that is often where the real value is. If two tools do not have a native connector, we build the bridge: a custom API integration, a webhook receiver, or a scheduled sync that pulls and pushes data on a schedule. If a tool has no API and no webhook, we will tell you — some things genuinely cannot be automated without changing the tool.

How long does it take to build an automation?

It depends entirely on complexity. A straightforward form-to-CRM flow might be ready within a few days. A multi-step onboarding pipeline with conditionals, error handling, and notifications typically takes one to three weeks including testing. Larger programmes with multiple interconnected flows are scoped as projects. We do not quote timelines before the audit.

Who owns the automation accounts and the flows?

You do — completely. Zapier, Make, n8n, your CRM, your email platform, and every other connected account is registered in your name, with your billing attached. We are added as a collaborator while we build, then removed once we hand over. There is no agency-owned account in the middle, and no lock-in.

Can you fix automations someone else built?

Yes. We frequently take over broken or half-working automations. We will review what exists, diagnose why it is failing, and give you an honest assessment of whether it is worth repairing or rebuilding from scratch. There is no point extending an automation that will fight you at every step.

Do you handle data privacy and security?

Yes. Credentials are handled securely, we prefer OAuth where available, and we never move data between systems without a clear business reason. For automations that touch personal or financial data, we flag any compliance considerations during scoping — and we do not guess about regulations we are not qualified to advise on.

Will the automations work if my tools update their APIs?

Mostly, but not always automatically. Platform tools like Zapier handle many API changes transparently. Custom-built integrations sometimes need updates when the underlying API changes. This is exactly why support plans exist — they cover ongoing monitoring and fixes so that changes on the vendor side do not silently break your workflows.

Do you require long-term contracts?

No. Automation projects are fixed-scope engagements — you pay for the build, and you own everything on delivery. Monitoring and support afterwards are optional rolling monthly plans or fixed-scope work. There is no mandatory twelve-month retainer and no exit clause you have to negotiate.

How do we get started?

Fill in the inquiry form below with a short description of the process you want to automate — what triggers it, what steps it involves, and how often it runs. We will reply with an initial assessment and, if it looks like a good fit, schedule an audit call. Nothing is quoted until we understand the scope, and there is no obligation to proceed after that conversation.
